Community Access Program

The Octagon Barn Community Access Program offers local organizations the opportunity to bring people together in a meaningful and memorable way. Through this program, selected applicants receive financial support to host events at the Octagon Barn Center, helping transform this historic space into a vibrant hub for community connection.

The Land Conservancy of San Luis Obispo County recognizes the importance of accessible, community-driven events and the positive impact they have on fostering belonging, creativity, and shared experiences. This program is designed to support gatherings that reflect the diverse interests and needs of our community, with a special emphasis on events that are educational and community-oriented.

We encourage proposals that inspire learning, connection, and engagement, while making the Octagon Barn a welcoming place for all.

About the Program

Eligibility

Applicants must:

  • Be based in SLO County
  • Show demonstrated benefits for residents of SLO County
  • Meet all standard Octagon Barn Center event deadlines
  • Declare funding sources they are seeking or have been granted (sponsorships, ticket sale prices, etc)
    • Tickets may not be sold for more than $20 (exclusions apply)
    • Event’s primary objective may not be a fundraising opportunity

Ineligible applicants:

  • Organizing a for-profit commercial venture
  • Religious or political events
  • Events that promote discrimination or conflict with LCSLO policies
  • Private celebrations (e.g weddings, reunions, birthdays)
  • Organizing primarily a fundraiser or charity event
  • Organizations that did not fulfill obligations associated with prior LCSLO supported events

Cost & Responsibilities

Community Access events may be approved at no cost or at a reduced rate, based on availability and community benefit. Applicants may be responsible for deposits to hold event dates, required security, event insurance, licensed vendors, and alcohol compliance.

All events are subject to the Octagon Barn Center Event Agreement. 

Application Process

  • Submit a completed Community Access Program application (application below)
  • Applications reviewed by the Octagon Barn Center Selection Committee following the application window.
  • Selected Applicants must:
    • Sign the applicable event agreement
    • Submit any required deposits to secure the date

Selection Criteria

Priority will be given to events that: 

  • Are scheduled for November – April or July
  • Are first time applicants
  • Provide broad community access and benefit
  • Include an educational or public engagement component
  • Involve collaboration among multiple organizations
  • Commit to tracking attendance and outcomes

Submission of an application does not guarantee approval or availability. All selection decisions are final.

Important Dates

  • Applications open: April 15 – May 15, 2026
  • Selected Applicants Notified: June 1, 2026
  • Eligible Event Dates: July 1, 2026 – June 30, 2027

We are excited to announce that 2026 is the pilot year of the Community Access Program. If initial reservations are not fully allocated, additional applications may be accepted on a rolling basis. Information regarding rolling applications will be posted on June 1, 2026. The application timeline for the 2027-2028 program year may change.

 

Available Community Access Event Opportunities

Milking Parlor

Overview

  • Five Community Access reservations per year
  • Includes kitchenette, heating and air conditioning, and audio visual system
  • Ideal for seminars, educational presentations, and smaller community events
  • Capacity: up to 100 guests

Investment

  • 8 complimentary hours, including setup and teardown
  • Additional hours at $100 per hour
  • $500 refundable deposit to hold the date, refunded within 10 business days following the event, assuming no damage

Full Facility

Overview

  • Five Community Access reservations per year
  • Includes access to the Milking Parlor, Shed and Courtyard, and Octagon Barn
  • Versatile to fit any event from cultural/heritage festivals to community markets.
  • Capacity: up to 200 guests

Investment 

  •  $800 for up to 12 total hours including setup and teardown
  • $1500 refundable deposit to hold the day, refunded within 10 business days following the event, assuming no damage. No discount available for single-space use within the Full Facility reservation

Approved Applicants are responsible for all applicable event related expenses which may include:

  • Required Security ($55/hour, when applicable)
  • Insurance naming the Land Conservancy of San Luis Obispo County as additionally insured at levels required within the agreement
  • Use of licensed and insured vendors
  • Alcohol service compliant with ABC requirements
  • Listing the Land Conservancy of San Luis Obispo County and any applicable Community Access Program sponsor (s) as event sponsors in marketing materials and allowing acknowledgement on facility structures

*All Community Access Program events are subject to the cancellation terms outlined in the event agreement. Deposits may be forfeited if an event is cancelled after agreement signature. LSCLO reserves the right to reallocate Community Access reservations if an event is cancelled.*

FAQ's

What are next steps if I am interested in booking?

Please complete our Interest Form and expect a response within 2-3 days. Venue management will provide availability, pricing, and schedule a tour. After a tour, a questionnaire is sent over for completion, followed by the contract and proposal.

How do I secure my event date?

We require a signed contract and 50% deposit to book. Final payment is due 30-days before the event. A fully refundable security deposit is collected for any time the renter and/or vendors are onsite.

Is the Audio / Visual System and kitchenette included in my Milking Parlor rental?

Yes, the AV system and kitchenette are both included in the Milking Parlor Rental.

The audio visual system includes a projector and screen, microphones, and full sound system suitable for slideshows, presentations, and music!

The kitchenette features a full kitchen prep space with a fridge, microwave, and sink.

Are there charges to rent the tables and chairs?

Materials are included in the rental rate with the exception of the heaters. Use of the heaters costs $100 to cover the cost of propane. Materials are available in as-is condition. Reach out for more information on quanities. Final quantities are available 30-days before the event.

Available materials include round banquet tables, white chairs, six-foot rectangular tables, a bar, cocktail tables, umbrealls, adirondack chairs, meeting tables (milking parlor), black padded chairs (milking parlor), trash containers and cleaning supplies. 

Is alcohol allowed at meetings?

Alcohol service is not included in a meeting rental. Please refer to our General Events Page for other event bookings if you would like to include alcohol, such as Milking Parlor Celebrations. 

What vendors are required?

Requirements vary depending on the event, however, many events require a coordinator, security guard, and licensed and insured bartender.

Are there alcohol requirements?

The venue is not associated with a restaurant or winery. You may bring in your own alcohol, however, shots are not allowed. A licensed and insured bartender is required for all alcohol service and an event liability policy must be submitted with liquor liability coverage.

Can we bring our own vendors?

Venue managment will provide a preferred vendor list. If you choose a vendor not on the list, management must approve the vendor and vendor must be able to provide liability insurance. For larger vendor categories (caterer, coordinator, installs, etc.), new vendors must schedule a tour with the venue to review plans and review expectations.

Can we have candles?

We welcome LED and other battery powered candles. The Octagon Barn Center is a non-smoking venue. Catering setups with cooking must be 20+ feet away from any structure.

What hours can we book?

Full Facility and Octagon Barn rentals are 12-hour rentals while Courtyard & Shed and Milking Parlor rentals are 8-hours. Additional hours can be purchased at an hourly rate. All amplified sound must be turned off at 10 pm and the property is locked by 11 pm.
